We are excited to be part of the first ever socially distant holiday experience at Amelia Earhart Park. 84 West Events will be participating in Electric Holiday Miami – a family friendly lightshow and more!

Miami-Dade County Commissioner Rene Garcia, Miami-Dade Commissioner Kionne McGee, Miami-Dade County Commissioner Jose “Pepe” Diaz and State Representative Alex Rizzo joined forces with Miami-Dade Parks to present this unique experience!

Upon arrival, visitors will tune their FM radio for pre-show holiday music to set the tone. Then, they will drive in and park in their very own “pod”. Guests can bring their own comfortable chairs for their section as long as they remain within within their vehicle or pod for the duration of show.

Voctave and The Edge Effect’s “Disney and the Holiday” Performances will also feature everyone’s favorite mouse who zoomed on over to pick up the apple of his eye before they headed out to the concert! There was only one problem! That silly duck gave them the wrong directions. VIP Ticket holders will be able to personally meet these characters.

The Fein B’Nai Mitzvah took place on October 10, 2020. The “Three Ring Circus” themed event had been planned for over two and a half years, but due to COVID-19, the celebration looked different than what the family had originally anticipated. With the help of 84 West Events, the Fein family was able to throw a safe and beautiful celebration on the original date as planned.

Even before Corona became a household name impacting everyone’s life, most parents could relate to the fact that family life can sometimes feel like a circus. For the Fein Family – Mom, Dad, and three kids Marisa, Mateo, and Leyla –  it was no question the theme for their B’Nai Mitzvah was going to be “Three Ring Circus”. 

Originally the Fein family had planned to celebrate the B’Nai Mitzvah by throwing an elaborate, indoor celebration for 300+ guests. Then COVID-19 showed up uninvited and tried to ruin the party plans. Not wanting to disappoint her kids by entirely cancelling this much-anticipated event, mom Michelle quickly turned to 84 West Events to figure out how to celebrate this important milestone for her kids in a safe and beautiful way.

Due to COVID-19 restrictions, the guestlist had to be drastically trimmed down and the venue changed to an outdoor location. The Fein family decided to hold the event in their private backyard and invited only 116 of their closest family and friends. However, the theme “Three Ring Circus” stayed intact.

The backyard had 3 tents to keep guests safe and socially distanced: one tent for Refreshments, one tent for Food, and the Celebration Tent that included the Candle Lighting. 

“This was a unique, but great way to make sure the celebration continued,” said Jeff Greene of 84 West Events.

Guests were welcomed with custom masks featuring a custom event logo designed by 84 West Events. First, guests arrived in the beverage tent to cool off and have a refreshing drink before they were called to the candle lighting in the Celebration Tent. Round cocktail tables with red linen and red roses were placed throughout the refreshment tent. The candle lighting was broken up into a course of several hours and different friends and family came in on different shifts to do their candle lighting. The candle lighting station included a fun mini tent fit for the circus theme with every kid’s name on the table. After the Candle Lighting, guests were ushered to another tent to have their meals. 

84 West Events created a livestream so guests could see a simulcast of events underway in the other tents. The tent process and structure allowed for intimate time you wouldn’t have gotten at a regular mitzvah. 

The kids all loved seeing family and friends they hadn’t seen in over 8 months due to the pandemic. Leyla and Mateo loved the catering, especially the funnel cakes and cotton candy that were right on theme!

“For anyone considering hosting an event during this time, think about what the celebration is really about and what’s important. Huge events don’t provide more meaning, it’s about celebrating a major milestone in life while staying safe. Everything else is secondary,” The Fein family said.

10 Things to Consider Before Choosing a Wedding Venue

Congratulations! You said “yes” to your partner and you’re in the early stages of wedding planning. If you’ve narrowed down your list of dream wedding venues and are almost ready to sign on the dotted line, there are a few things you should consider. Your venue will be your largest expense and the decision that dictates many other details to follow. How do you narrow down your favorite wedding venues? Start by asking the right questions. Consider your answers below to these 10 important items to consider before you book your wedding venue.

1. Decide Your Wedding Budget

 

 

The average couple spends around 15-20% on a venue. It could be more if the venue includes additional services. When you meet with your venue, tell them your total budget for the venue, not your total wedding budget. 

 

2. Select Your Wedding Date & TIme

 

Before you can book your wedding venue, you need to have an idea of what month and what time you would like your wedding. Some starting points include a special date to you as a couple – the first day you met, your first date etc. The most popular, and expensive, months of the year are May, July and December. If there are important friends or family members you want there, you might want to run the dates by them to make sure there are no schedule conflicts.

 

3. Decide on Guest Count

 

Tell your venue how many guests you plan on inviting early on. It’s likely that more than 80% of your guest list will attend your wedding. The average number of wedding guests in the U.S. is about 120 people – but it is your decision if you want an intimate, average or large wedding. We recommend that you start with a list of everyone you can think of inviting and start trimming the guest list down from there. Another item to consider is if you want children at your wedding or reception and to plan accordingly.

 

4. Take a Site Visit

 

If you plan on getting married in December, but you are doing your site visits in the summer months you need to be considerate of a few items. Does the venue offer the same charm, aesthetic and lighting during your wedding month? You can always ask your site coordinator for wedding photos or do your own research to make sure you know what you’re getting.

 

5. See if the Venue Is Full Service

 

A full service wedding venue usually offers everything from table and chair rentals, to linens and catering supplies. A venue that is not full service usually offers you the space and it is up to you to fill in the rest. This means you will be responsible for booking all of the vendors for the wedding day. Either way, some venues have required vendors that they want you to work with, so that is something to figure out before you book. Working with venue-required vendors such as caters, rental companies, and event designers does not give you the option of “shopping” around and finding a quote that meets your budget. In-house vendors also usually offer very basic options for chairs, linens, etc. It may be worth the spend to impact the appearance of your wedding reception.

 

6. Decide on Wedding Theme/Style

 

Taking into account what style wedding you want will help you choose the venues you need to visit. Many couples think that they don’t need to decide on a wedding style early on, but we think it is one of the most important decisions. If you already have a venue in mind, think about colors and themes that would look good at that venue. Pinterest is a great place to get inspiration for wedding themes by season, colors and more.

 

7. Think About Rainy Weather Options

 

We know all things pop up unexpectedly – including the weather. We always say plan for the worst and expect the best! It’s important to have a rain plan. Whether that means moving your ceremony indoors or calling a local tent rental to get pricing on a last minute tent, make sure you know your options ahead of time.

 

8. How Late Can the Party Last?

 

Many wedding venues have noise restrictions. A 10pm outside music curfew is the most common. If you plan to party late, be sure to inquire about an indoor after-party space or what your options are for late night music. If the venue has to give you the boot at 10pm, it may not be the place for you. Make sure you know the rules so you can plan everything accordingly.

 

9. Where Will Your Out of Town Wedding Guests Stay In Relation to the Venue?

 

If you are planning to have a lot of out-of-town guests, it might be best to look for a venue near hotels. There are many nice hotels with large banquet rooms for wedding receptions. There’s nothing worse than the family of the bride and groom being late because they got lost trying to get to the ceremony or reception. Always try to have a room block and place helpful info such as area hotels, rates, and distance from the venue on your wedding website. 

 

10. Is There Another Wedding or Event in Your Space on Your Wedding Day? 

 

 Ask the venue if they are hosting any other events that day, where they are taking place, and what the timing of those events are. In our experience, an event takes about 2-3 hours to set up prior to guest arrival. If you move forward with a venue that has multiple events taking place, make sure your florist, rental vendor, wedding planner, and most importantly your photographer know that they will have a tight time schedule to work with. Congratulations, you’re ready to book your event! Over the last couple of months we have worked hard to meet the needs of our clients’ desire to celebrate life’s milestones such as graduations, mitzvahs, and weddings without compromising on social distancing. We are excited to share that while Florida has been at limited capacity from COVID-19, our governor has lifted restrictions on businesses statewide. Most significantly, that means restaurants and bars in the state can now operate at full capacity.

In addition, our state has eased restrictions further by allowing groups up to 100 to gather at events. We’re excited to continue to offer our wedding and event services during this time. The show must go on(line)! We have seen firsthand that the meeting and event industry is one that is creative and resilient. It’s why among the news of the pandemics cancelation and postponement of hundreds of events, many events have announced they’ll be going digital during the COVID-19 outbreak. 

While face-to-face interaction and networking are important, going virtual allows for keeping attendees safe, audience retention, increasing inclusivity and more. Successful virtual events take more time and energy than a standard video conference so we’ve put together these tips below to elevate your virtual event and maximize attendee engagement.

1. Find the Right Virtual Event Solution for Your Unique Needs

Just like in-person events, not all virtual events are the same. That’s why it’s important to pick a tech provider that’s right for you. You want to think about the size of your event, how many sessions you want to host, what engagement features you want and your budget. We love Zoom because it’s perfect for virtual events, educational sessions, webinars, forums, private meetings and more! 

2. Include a Hybrid of Live Streamed and Pre-Recorded Content

Even if they’re stuck at home, people may not want to sit through an entire conference day. Mix it up with live streamed and pre-recorded content. These should be available on-demand afterward so attendees can access your sessions on their time. We prefer having some session speakers pre-record their presentations, while our high-profile keynotes host a live stream each day. This helps drive excitement and engagement and keeps people coming back!

3. Be Prepared for Tech Issues

Your attendees can register, pay and be prepared for the event as best as they can, but a tech issue can ruin your entire plan. Be prepared to have a backup plan if your live stream fails, your guest speaker doesn’t show or you get more or less attendees than expected. Solutions can range from having a backup date, a backup flatform or a backup speaker. Pivot your plan to more of a Q/A if there are more participants than expected and re-adjust to a more intimate event if there are fewer attendees than expected. 

4. Use a Mobile App

A mobile event app isn’t just useful at an in-person event. Event organizers can have attendees participate in real time using an event app that enables them to have the same interactive experience as those attending the event live. This can be polling, messaging and more. Event organizers can also send push notifications to remind attendees that a live stream is starting soon or that an exhibitor has a special offer.

5. Keep Your Event Sponsors Happy

Event sponsors are just as critical in virtual events as they are in-person events. Rotating web banners can give sponsors additional exposure to their target participants. Mini-videos of your sponsors’ products and services also allow you to promote them before and after featuring your pre-recorded marketing content.

The events industry is in the midst of a very challenging time. Be open to new ways of connecting and remember, the show will go on, whether live or virtual. We are thrilled to see Syreeta and Robert’s South Beach wedding featured on Tacari Weddings!

This couple is the definition of cool! Syreeta held a gorgeous bouquet with crystal details in a stunning off-the-shoulder gown perfect for her beach wedding. The wedding colors of coral and teal were seen throughout the celebration from beginning to end. The bridesmaids wore gorgeous coral dresses and the groomsmen had the perfect accent of teal on their bow ties and shoes.

The glistening Atlantic Ocean provided a magnificent backdrop for their wedding ceremony on Miami’s Bentley Beach. White wooden chairs and a ceremonial arch completed the coastal theme. Guests were given envelopes of rose petals to toss as the pair walked down the aisle. The couple had a sand ceremony, a symbolic blending of two different-colored sands into a single vessel. This beautifully represents the blending of the bride and the groom, into a single, inseparable unit that is their marriage.

The reception continued into the Skyline Room, overlooking world-famous Ocean Drive and beautiful South Beach. This beautiful 1,500 square foot ballroom offers Italian marble flooring which we paired with the couple’s wedding colors throughout the reception decor details. Guests danced all night to the sounds of the DJ. Congratulations to the happy couple!

Especially with the current pandemic, couples are wondering now more than ever what are the benefits or differences between having your event at a restaurant versus an event space? Banquet halls are usually part of a hotel or restaurant that are used mainly for weddings or other personal events. Most banquet hall providers offer food and catering along with the hall. Event venues are usually very large spaces for larger events and parties.

So which option is better? It depends on your needs! You’ll need to consider, budget, event feel, location etc. After years of being experts in the industry, we weigh in on the elements you should consider to help you make your decision below. 

Space

  • Restaurant/Bar: The biggest pro or con to having your event here is that restaurants will most likely have a designated look and feel. Your decor will be minimal if anything at all. This is great if you’re looking for minimum work or just love the feel of that restaurant! On that same note, make sure that the restaurant, space, and it’s furniture or rentals are maintained. You don’t want anything looking run down on the day of your event. There are lots of restaurants that have a gorgeous patio or rooftop for your experience, so get creative!
  • Venue: When you select your own venue, you’ll have much more freedom in customizing the look, feel and overall experience. While this will require much more work or planning on either your part or your planners, this allows for a customizable experience with lots of room for creativity. The options are endless!

  • Restaurant/Bar: Most restaurants will offer a pre-set menu for your occasion. It’s the easiest way that allows for fewer servers to manage a large group setting together rather than various complicated dishes. Remember that you have to work within the restaurant’s scope, so food options may be limited. This may be difficult to ensure you have something available for a broad range of tastes and dietary preferences.
  • Venue: While some venues do work with preferred caterers, you will still have much more freedom on crafting your menu here than at a Restaurant or Bar. Play with different trends and unique food presentations to make your event memorable! Here you have the option to customize everything from the canapés, cocktails to the sit-down meal. Great food and drinks will stay in the minds of your guests!

  • Restaurant/Bar: Having your event here means you’re seeing all of the costs upfront. Rentals like chairs, silverware, tables are usually already part of the restaurant, so that will help you save money! Another bonus here is that restaurants are more likely to accommodate additional seats, food, or drinks last minute since everything is in house. Just like a venue, certain days of the week may cost less to host your event. Avoid prime restaurant hours for a better deal. A note that you may or may not run into; time limits at restaurants.
  • Venue: Working at a venue often includes costs that people don’t expect. You’re not only paying for the event space, but you will need to add in costs for rentals including chairs, silverware, linen and more. Finding an all-inclusive venue will help you here. If you have additional guests or last-minute food needs, it may be harder to solve than if you were at a restaurant. Most venues offer discounted rates for avoiding prime event times, so be sure to account for this when setting prices for location.

Capacity**

  • Restaurant/Bar: The most important question is how many guests will that space accommodate easily?** We’ve all been to an event where our elbows touch the person next to us and we have to shimmy just to get out of our seat. Work with the venue host to select the right size space and different options if there are multiple selections. A smaller space will make your guests feel uncomfortable, while a larger size might affect people’s perception of its success.
  • Venue: One of the first things you should look at when selecting your venue is the capacity of the event space.** Remember that you’re looking at a space without all of your rentals, guests and additional decor involved, so ask the expert opinion of your venue host. A larger capacity won’t hurt your event space as much as a smaller space would. You want people to move easily, and of course have space to dance the night away!

  • Restaurant/Bar: This is where restaurants can really sweeten the deal! An established restaurant working as a venue will have in-house AV equipment, Wi-Fi capabilities, and even a designated parking lot or valet service for your guests at no extra cost. Additionally, they include a fully trained staff that understands excellent customer service.
  • Venue: Working with a venue, especially a smaller one, will come with its own set of questions and potential issues. Where will everyone park? Valet service will probably be an additional fee. You will have to bring in AV equipment and a lighting company to get your desired look and feel. The last thing you want to do is serve up a less-than-stellar experience because the event is understaffed and a little sloppy… However working with experienced professional vendors you or the planner have picked will easily solve any issues in the venue!
